Unit Map requests for partners
This guide explains how partners collect required assets from their clients and submit Unit Map requests to Engrain for use in their software. Following these steps helps avoid delays and keeps requests moving smoothly.

What property information do I need to confirm before requesting a Unit Map?
Most delays happen when client property details are incorrect or incomplete.
Before submitting a request on behalf of your client, confirm that you have:
- The correct property name that matches PMS records
- The full property address
- Portfolio or grouping details if applicable
- Partner contact information for map delivery
Common mistakes
- Submitting an address that does not match PMS records
- Using a marketing name instead of the official property name
- Leaving portfolio or grouping fields blank when applicable
What files are required to create or deliver a Unit Map?
This is the most important step. Incomplete or incorrect files are the number one cause of Unit Map delays.
Partners must submit both of the items below for every client request.
1. Labeled Property Map File
A property map showing all units clearly labeled.
Accepted formats:
- .JPG
- .PNG
- .AI
The map file must:
- Be high-resolution and legible
- Include every unit label directly on the map
- Match unit names exactly to the inventory report
- Include all buildings, floors, and unit placements

2. Full Unit Inventory Report
A complete unit inventory export from your property management system.
Accepted formats only:
- .XLSX
- .CSV
The inventory report must include:
- Unit number/name
- Floor plan or unit type (floor plan marketing name preferred)
- Bedroom/bathroom count
- Square footage
Common issues to avoid:
- Missing units
- Naming mismatches between map and spreadsheet
- PDFs or screenshots instead of spreadsheets
- Inclusion of PII or other sensitive information
How do I submit a Unit Map request?
Once you have collected the required files from your client, submit Engrain’s official Unit Map Request Form.
How long does it take to create a Unit Map?
After submission, Engrain checks whether the Unit Map already exists in our system for your client.
If the map already exists
- Added to your partner account within 3 to 5 business days
- Available for use via your API key once added
If a new map is required
- Engrain builds the Unit Map after the content package is approved
- Typical delivery time is within two weeks

Who is my main point of contact for Unit Map requests?
After you submit a Unit Map Request Form on behalf of a client, Engrain assigns an Onboarding Specialist to the request.
Your Onboarding Specialist will:
- Confirm receipt of your request
- Review your submitted map and inventory files
- Flag missing or incorrect information
- Share timeline updates
- Coordinate final Unit Map delivery

How do I receive ongoing map updates?
After partnership activation, Engrain sends a weekly email every Friday that includes:
- A CSV of all properties available under your API key
This ensures you always have access to the most up to date Unit Map inventory.

You can check Unit Map availability anytime using the Unit Map API. Querying the Assets endpoint allows you to see the latest available properties in real time – no need to wait for the weekly file.
